Google API Services — Limited Use Disclosure
SoundInbox's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only use Gmail data to provide the in-app email notification feature — for no other purpose.
1. What Data SoundInbox Accesses
When you connect a Gmail account, SoundInbox requests read-only access to your Gmail messages via the Gmail API. Specifically, SoundInbox reads:
- Sender address — to match against your VIP sender rules.
- Subject line — to match against your alert formulas (e.g. "Payment Received", "New Sale").
- Message snippet — a short preview (first ~100 characters) used for pattern matching.
SoundInbox does not read message bodies beyond the snippet, attachments, contacts, calendar data, or any other Google account information.

2. How Your Data Is Used
All data processing happens entirely on your Mac. The flow is:
- SoundInbox polls Gmail for new messages using your OAuth token.
- The sender, subject, and snippet are evaluated against your local alert formulas.
- If a formula matches, the corresponding sound plays on your Mac.
- A match record (timestamp + formula name, no message content) is saved locally.
No email content, sender addresses, or message data ever leaves your device. All matching is performed in-process on macOS. No data is sent to Drolosoft servers or any third-party service for this purpose.
3. Data Storage
SoundInbox stores the following data locally on your Mac:
- OAuth tokens — stored securely in the macOS Keychain. Never written to disk in plain text.
- Alert rules / formulas — stored in the app's local preferences (~/Library/Application Support/SoundInbox).
- Match history — a local log of which formulas triggered and when. Contains timestamps and formula names only — no email content or sender PII.
No data is stored in any cloud service, Drolosoft servers, or external database on your behalf.
4. Third-Party Sharing
Zero Third-Party Sharing
SoundInbox does not share, sell, transfer, or disclose your Gmail data, OAuth tokens, or any personal information to any third party, advertiser, data broker, or service — for any purpose, including advertising or user profiling.
5. Data Retention
Data is retained only as long as you use the app:
- OAuth tokens — retained until you disconnect the account in SoundInbox or revoke access via Google Account settings. Deleting the app removes all Keychain entries.
- Match history — retained locally until you clear it via SoundInbox preferences, or uninstall the app.
- Alert rules — retained until you delete them in the app or uninstall SoundInbox.
6. Your Rights and Controls
You are in full control of your data:
- Disconnect an account — remove it from SoundInbox at any time in Preferences → Accounts.
- Revoke Gmail access — visit Google Account → Security → Third-party access and remove SoundInbox.
- Clear match history — available in SoundInbox Preferences → History → Clear All.
- Full deletion — uninstall SoundInbox and delete ~/Library/Application Support/SoundInbox to remove all local data.
7. License and Purchase Data
If you purchase a Pro license, your purchase is processed by Lemon Squeezy, our payment processor. Drolosoft receives your email address and order information to issue your license key and provide support. This data is governed by Lemon Squeezy's Privacy Policy. Drolosoft stores your license key and activation records (device identifiers, not personal data) on our servers solely to enforce license limits.
8. Google API Services User Data Policy Compliance
SoundInbox complies with the Google API Services User Data Policy, including the following requirements:
- We only request the minimum OAuth scopes necessary (read-only Gmail access).
- We use Gmail data solely to provide the email notification feature described above.
- We do not use Gmail data for advertising, user profiling, or any purpose unrelated to the app's core function.
- We do not transfer Gmail data to third parties except as required to provide the app feature (which requires no transfer).
- We do not allow humans to read user email content.
9. Analytics
The Drolosoft website (drolosoft.com) uses Matomo for privacy-respecting analytics. No tracking cookies are used in SoundInbox the app itself. The app does not send any telemetry or usage data to Drolosoft.
